Terms of Service

1. Agreement

These Terms of Service govern your access to and use of XtractBot. By using the service, you agree to these terms on behalf of yourself and any organization you represent.

2. Service Scope

XtractBot automates document ingestion and processing workflows, including mailbox processing, extraction, review, and downstream integration actions. The service may evolve over time and features may be added, changed, or removed.

3. Accounts and Security

You are responsible for account credentials, tenant configuration, user access controls, and any activity under your account. You must promptly notify XtractBot of suspected unauthorized access.

4. Customer Responsibilities

You are responsible for ensuring you have lawful rights to process all data submitted to XtractBot and for validating extracted outputs before operational, accounting, tax, or compliance use.

You remain solely responsible for bookkeeping outcomes, filing obligations, and business decisions made using service output.

5. Acceptable Use

You must not use the service to violate law, infringe rights, transmit malware, perform unauthorized access attempts, or overload infrastructure. XtractBot may suspend access to protect platform integrity and other customers.

6. Third-Party Services

XtractBot integrates with third-party services such as Google, Microsoft, Xero, Stripe, and Cloudflare. Your use of those services is governed by their terms and policies. XtractBot is not responsible for outages, data loss, API changes, or decisions made by third-party providers.

7. Fees and Billing

Paid features require valid billing details. Fees are non-refundable except where required by applicable law. XtractBot may update pricing with reasonable notice.

8. Suspension and Termination

XtractBot may suspend or terminate access for breach, security risk, fraud, non-payment, or legal requirements. You may stop using the service at any time.

9. Warranty Disclaimer

The service is provided on an "as is" and "as available" basis. To the maximum extent permitted by law, XtractBot disclaims all warranties, including implied warranties of merchantability, fitness for a particular purpose, non-infringement, and uninterrupted or error-free operation.

10. Limitation of Liability

To the maximum extent permitted by law, XtractBot will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for loss of profits, revenue, data, goodwill, or business interruption.

To the maximum extent permitted by law, XtractBot's total aggregate liability arising out of or relating to the service will not exceed the fees paid by you to XtractBot for the three months before the event giving rise to the claim.

11. Indemnity

You agree to indemnify and hold harmless XtractBot from claims, losses, and costs (including reasonable legal fees) arising from your use of the service, your data, or your breach of these terms.

12. Changes to Terms

XtractBot may update these terms from time to time. Updated terms are effective when posted. Continued use of the service after updates means you accept the revised terms.
